As part of our continued support and management of our client’s conferences, we manage pre and post-production alongside onsite management, including:

  • Vendor Management: Coordinated with all third-party vendors, including catering, print partner (Display Graphics), audio-visual support partner (Absolute Audio Visual Solutions), and more, to ensure seamless logistics.
  • Production and Technical Support: Delivered full audio, lighting, and staging services, including recording and streaming content.
  • Print Services: Handled all print needs, such as signage, backdrops, and menus.
  • Food and Beverage: Curated unique menus for each session, with a focus on sustainability by donating leftover food to local food banks.
  • Registration and Delegate Management: Managed invitations, inquiries, and event information distribution.
  • Onsite Management: Worked closely with our client to ensure a smooth and enjoyable experience for all attendees.

Overcoming Challenges:

Like all large events, the Capital Management conference presented several challenges during the week. One significant hurdle was the 45-minute setup window for the gala dinner at the National Gallery. During this short time frame, we needed to arrange all furniture, catering, floral displays, bars, audio-visual equipment, and entertainment to ensure everything was ready for the guests’ arrival. Our team collaborated closely with vendors to meet these tight deadlines.

Additionally, working in a protected venue like the National Gallery required careful consideration of ingredient restrictions to safeguard the displayed artwork. This necessitated creative menu planning to ensure that each dish not only met our high culinary standards but also adhered to these guidelines. Despite the limitations, our catering partner helped us craft an exceptional multi-course dining experience.

Successful Event Execution

This year, we faced particularly tight timing for setups, with some activities requiring overnight arrangements. Nevertheless, our team’s dedication ensured the smooth execution of logistics, leading to outstanding feedback from guests.
