Overview of AGM

AP LIVE was proud to partner with a leading U.S.-based global investment firm for the Annual General Meeting (AGM) of its Amsterdam-based subsidiary. This two-day event brought together investors and stakeholders for one-to-one meetings, keynote plenary sessions and dynamic networking opportunities. Following the success of last year’s AGM, the event once again took place at the iconic Capital C—an innovative venue known for its creative and flexible event spaces.

In celebration of their 25th anniversary, the AGM concluded with a memorable Gala Dinner at the iconic Maritime Museum, providing guests with a distinctive cultural experience amidst a rich historic backdrop.

Event Programme Overview

• Accommodation: 245 rooms arranged across three 5-star hotel locations in Amsterdam
• One-on-One Meetings: 34 private sessions with clients across 6 locations
• LPAC Meetings: More than 50 onsite delegates participated in three Limited Partner Advisory Committee roundtable discussions, with additional external members joining via conference call
• Plenary Conference: 178 delegates engaging with discussions and presentations across 15 different categories along with 24 speakers
• Networking Receptions:  Hosted 130 guests aboard three private canal boats for a scenic city tour
• Gala Dinner: A celebratory 25^th Anniversary dinner for over 190 guests at the Maritime Museum, featuring a live performance by an iconic classical artist from Sonic Music

Services Provided

• Event Management Support: Comprehensive pre-event planning and onsite execution
• Budget and Financial Management: Full budget reconciliation throughout the pre-event planning stage
• Venue Sourcing: Managed contracting and communications across two venues, three hotels, and one private dining location
• Vendor Coordination: Management of local crew, security, staffing, furniture, RAMS, catering, guest management, entertainment and delegate transfers
• Technical Setup: Oversight of all technical requirements, partnering with our sister company Absolute Audio-Visual Solutions for expert consultation
• Onsite Technical Team: Included a Technical Manager, Graphics Operator, Auto Prompt Operator, and Show Caller
• Event Build and De-rigging: Managed setup on the first day and teardown after the event
• Catering Tasting: Food and wine selection for the Gala Dinner and AGM two months prior to the event
• Onsite Signage: All printing and signage produced in-house, designed by our sister company Display Graphics and printed locally

Challenges

Given the significance of the 25th anniversary, we partnered with a landmark venue to elevate this year’s Gala Dinner. High-demand venues sometimes presented pre-production challenges due to tight scheduling of back-to-back limited availability. To mitigate this, we engaged early with the venue team, maintaining consistent communication through regular updates, virtual meetings, and two on-site recces. This proactive approach ensured a seamless execution—culminating in what many described as our best Gala Dinner to date.

Event Summary

In conclusion, client feedback was once again overwhelmingly positive. Returning to this familiar venue continued to impress delegates, with highlights including the well-received boat tours and a standout Gala Dinner that offered exceptional networking opportunities and cuisine.
