AP LIVE supported a global investment management company with a one-day conference at the Rosewood Hotel, London. This was an opportunity to bring together the company’s clients, leaders and investors to explore thought-provoking questions. The event programme included networking opportunities for clients and the firm during a welcome reception on Day 1, the conference on Day 2 taking place within the Main Ballroom at the Rosewood, a series of private meetings within the breakout rooms in the hotel, a lunch in the Mirror Room and a dinner reception in the Holborn Dining Room.

This one-day conference for clients of an investment banking company at the Rosewood Hotel provided an opportunity to bring together the company’s leaders and investors from around the world for meetings and networking.

Services Provided
- We supported the client with all the logistics, supplier management, production and venue liaison prior to and during the event. We worked closely with third party vendors and internal stakeholders on event requirements, overseeing conference planning activities and onsite management.
- This included overseeing event budgets and vendor contracts, leveraging our experience and industry relationships to deliver the best possible experience within budget.
- We developed food and beverage requirements within budget, including custom menus for all meal functions. We worked with the hotel to produce meticulous Banquet Event Orders (BEO) to ensure quality execution and optimal attendee experience.
- The client required the management of room block attrition against deadlines and attendee registrations, providing utilization reports to the event team. This involved tracking participants’ hotel changes, liaising with the hotel rooming coordinator on room updates, block changes and billing instructions.
- We supervised and managed all technical arrangements including staging, sound, lighting, video, graphics, and Wi-Fi. We created a ‘Run of Show’ timeline for all AV and stage activity, including lighting, video and audio cues. This involved coordinating all technical requirements requested, technical rehearsals, presenter rehearsals, show flow, strike, and load-inset-up and load-out of all equipment and personnel.
The Challenges & Results
One of the biggest challenges was working across different time zones. As the client is based in Los Angeles, the different time zones made it challenging to keep the event timeline flowing and deadlines met.
Another challenge was ensuring an adequate Covid safety protocol, working with various vendors and determining onsite communications to support a Covid secure environment.

We worked with the events team to conduct post-event analysis to gather feedback from the hotel and vendors.
