Investment company AGM, Amsterdam

AP LIVE had the opportunity to assist an American-based global investment firm with the AGM for their subsidiary company in Amsterdam. This AGM is the opportunity for investors to join 1:1 meetings with the client at the InterContinental Amstel and be entertained at the dinner held on the evening at the Artis Planetarium. This was the client’s first in-person AGM event since 2019, pre-pandemic, and needed to impress.

• We supported the client with production and event management pre-event, as well as onsite management during the event, build of the event on the first day and de-rig of the event upon completion.
• We provided supplier management, acting as the main point of contact with hosts and suppliers from catering, external hotel accommodation, furniture hire, AV, to scenic requirements.
• The client required a dinner venue that was within a short distance that could provide a three-course sit down meal for guests. We carried out site visits and chose the Planetarium as the best option. We organised a tasting for staff where they could provide their input on the paired wines and dishes. As the Planetarium was a blank space, we liaised with various suppliers for lighting, table dressings, entertainment, and worked with the Planetarium to have an expert on hand to provide a quick guide to what guests would see projected on the ceiling, who was available throughout the evening for questions.
• We also oversaw the production management of all audio visual and scenic requirements. This included video on demand provided by onsite videographer AAVS, also providing post events edits for video on demand.
• All onsite printing and signage was created within our production group, designed by Display Graphics.

The main challenge involved management across two different venues and ensuring they were suitable for each part of the event, the InterContinental Amstel for the meeting and the Artis Planetarium for the dinner. We had various points of contact to manage, including suppliers, caterers, hotel accommodation, AV, and furniture hire, and this involved a great level of organisation within the team to ensure everything was on track for the event to run smoothly.
