Overview

AP LIVE had the opportunity to support Advertising Week with a week-long programme of events in Cannes, France. The events were hosted at a stunning rooftop apartment on the Boulevard de la Croisette  and ranged from small executive meetings to larger brunch panel sessions and evening drinks receptions

The event programme included:

  • Panel breakfast session and a fireside conversation with GROUP BLACK
  • Roundtable discussions for DIRECTV, 5wPR and BASIS
  • Fireside Brunch with ROUNDEL
  • Networking evening reception for ACXIOM
  • Breakfast networking with META
  • Fireside brunch with SiriusXM
  • Pool Party for APA

Services Provided

Pre-planning and onsite production included:

  • Management of 3rdparty vendors including managing furniture, RAMS, guest management,  photography, local crew, security, staffing
  • Liaising with all sponsors confirming all catering requirements, providing bespoke logistics and content management
  • Partnership with Absolute Audio Visual Solutions on consultation and providing all technical equipment for the space
  • Partnership with Display Graphics on consultation and providing for all on site branding and visuals
  • Management and liaising with venue management
  • Sourcing, training and managing a team of event support staff
  • Sourcing and management of local catering services – provided by The New Caterers
  • Souring and installation of additional theming including floral arrangements

The Challenge

With the event now in its 17 year at Le Rooftop, the main challenge we have is how to logistically work within the space. The location is part of a residential building so there are strict limits on logistics such as vendor access in and out of the building, access from the apartment to the rooftop itself, transforming a residential space into a functional event space that can accommodate and cater for up to 40 people.

The installation and de-rig of this event are planned down to the minute, with multiple suppliers and crew needing to work in the space simultaneously and no parking available. To ensure everything goes as smoothly as possible we work with the building management and concierge team to ensure all relevant parties were kept informed and worked together in unison.

Having worked on event at Cannes Lions for many years, the APG have developed strong relationships with local vendors so we are lucky to have a combination of both internal team management ensuring exacting standards and local vendors to support us underpinning the event. This makes it both cost effective and as sustainable as possible for our client.

During our time on site, we managed and delivered 11 events and numerous client 1:1 meetings. We were able to utilize the different areas of the space to the maximum, ensuring guest flow was strategically planned to not impact others

The Results

The client was happy with the management and execution of the event, and our relationship continues with them and their sponsors continues to grow. All sponsors were delighted with how their events were pre-planned and then executed on the day – with many mentioning how impressed they were with the planning and communications from the team in the build up to the event and the smooth and excellent on-site event management and guest experience on site.
