Brief

This event was an annual Conference bringing together 350 leaders form the Marketing industry to discuss the key subjects and listen to thought leaders.. The client wanted an impactful scenic design to match the identity for the event, and a complete live technical package, as well as fast turnaround to include on demand recordings of presentations.

The Challenge

This project came with two challenges that needed to be overcome. The schedule was an overnight load in at 23:00 the day before the event, with the sessions running from 09:00 until 15:30. The room then had to be cleared of delegates and furniture, and all technical and scenic elements needed to be removed by 17:00, so that the hall could open as a bar the same evening. Failure to clear the hall in time would result in a hefty fine of tens of thousands of pounds. We’re happy to report we were clear of the venue with 7 minutes to spare!

In addition we recorded all presentations, which were then edited and uploaded to the clients YouTube site. A key requirement from the client was to have these videos available to view as soon as possible and we managed this within a 30mins turnaround on each presentation finishing.


The Results

This was the first project for this client and with the logistics challenges, a lot of trust was placed with us to not only produce a great event, but to also avoid financial penalties. The event and load out went so well that we continue to support this annual event to this day.
